Remote access with POP or IMAP

Why use POP or IMAP access?

The POP and IMAP protocols provide remote access to your GroupWise e-mail. The main reason to use these methods for remote access, rather than Web access, is that you don't have to maintain an open Internet connection while you read or compose mail. The disadvantages of the POP method, compared to Web access, include:

  • You can't access any e-mail or data previously read using the GroupWise client or Web access
  • You can't manage mail on the GroupWise server; you can only remove new e-mail from the server, or leave it untouched in the download process
  • You must use a POP e-mail client such as Outlook or Entourage.

Despite its limitations, POP access can offer advantages for those who don't want to stay on-line for lengthy periods of time while working with e-mail.

The advantage of IMAP over POP is that IMAP merely obtains a copy of the message ensuring that the original stays on the server. IMAP also allows access to and management of messages in multiple GroupWise folders. IMAP access can thus be helpful for those who check e-mail from a variety of locations and wish to ensure that the server retains their e-mail.

 

How to use POP/IMAP access

If you're experienced in configuring POP e-mail clients, here is the information you'll need:

  • Outgoing mail (SMTP server): smtpauth.wlu.edu. This server requires authentication. Use your GroupWise name and password to authenticate.
  • Note that outgoing POP/IMAP mail can be sent ONLY from an address on the W&L network--either a wired or wireless campus or fraternity location or a Connect97 session. Mail cannot be transmitted via W&L POP from a non-W&L Internet Service Provider. Users can arrange to use a POP server at their ISP, but the e-mail sent will not carry a W&L return address.
  • Incoming mail (POP3) server:  gwpop.wlu.edu
  • Specify user name (same as Novell user name) and password (GroupWise password)

If you haven't done this before, here are step-by-step instructions using Outlook Express, a popular and easy-to-use POP e-mail client.

  1. Select Tools > E-mail Accounts





  2. Select "Add a new e-mail account" and click "Next".



    Select either "POP3" or "IMAP" and click "Next".


  3. Fill in your name, e-mail address, user name and password. Check the box labeled "Log on using Secure Password Authentication." Fill in the field marked "Incoming mail server" with gwpop.wlu.edu. Fill in the field marked "Outgoing mail server" with smtpauth.wlu.edu. Do not click "Next".



 

  1. Only for POP users: Choose the tab marked "Advanced". In the section marked "Delivery", check the option "Leave a copy of messages on the server". Check "Remove from server" and increase or decrease the number of days. Check "Remove from server when deleted from 'Deleted Items'".



  2. Click "OK" to close the "Advanced" window, then click "Next". Click "Finish" to complete the configuration.
