How do I archive old e-mail?

Before you archive, you'll need to specify an archive location - - that is, a directory under your control which is outside the GroupWise database. In this example, we'll choose the H:, or Home directory.

Choose "Options" from the "Tools" menu.

Double-click the "Environment" icon. Click the "File Location" tab, type in the location of  "Archive Directory," then click "OK." In this example, the archive location is a folder called "GW archive" on the H: drive. You can choose this or another location by clicking on the folder icon next to the "Archive Directory" location and selecting an appropriate folder.

Now you're ready to archive your old GroupWise sent and received mail. In the GroupWise main window, click on the folder containing the items you want to archive. The folder chosen below is called "180-day cleanup":

On the right side, click on the headers of the messages you wish to archive. In the Window above, we've selected four messages for archiving. You can select multiple messages by holding down the "Ctrl" key on your keyboard, and clicking on each message header in turn. If you want to select a large number of messages in a folder, try this: select a message at the top of the list to be deleted; then scroll down, find the message at the bottom of the list to be deleted, and click on that message while holding down the "Shift" key. All the messages in between the two that you "clicked" are now selected.

With the messages selected, now select "Archive" from the "Actions" menu:

The selected items are automatically moved to the archive on your H: drive.

To view your archived items, select "Open Archive" from the "File" menu:

All archived items now appear in GroupWise. To return to the GroupWise window with your current, active e-mail and other items, select the "File" menu and select "Open Archive" again; this closes the archive.
